Club Standing Rules

   Business Meetings:

1. Executive Board Meetings   

  1.  An Executive Board Meeting will be held in conjunction with each rally.  Others may be scheduled by the President with 30 days notice at which time the agenda, prepared by the President,  will be provided. 

  2. A simple majority of those participating, in person or by electronic means will determine the outcome of any issues brought to a vote.

  3. The Executive Board Meetings will be chaired by the President or his/her designee.

 2. Membership Business Meetings

  1. Will be held at each rally sponsored by the NW Trek Fun Club.

  2. Membership Meetings will be scheduled by the Wagon Master for each rally.

  3. One and one half hours will be scheduled for each general meeting.

  4. The agenda for the general meetings will be distributed by the Secretary to all members a minimum of 30 days prior to the meeting.

  5. The President or his/her designee will chair the membership meetings.

  6. A simple majority of those in attendance will determine the outcome of any issues brought to a vote.

  7. One vote per FMCA membership is allowed

  3. Annual Elections:

  1. The vice president will form a nominating committee by the first rally of each year from members of the club.

    1. This committee must have a minimum of three members including the Vice President.

  2. All nominees are required to have regular internet access.

  3. The Nominating Committee will provide a slate of potential officers for each office to the membership by September 25.

  4. Open nominations will close October 1, at which time a finalized roster of nominees will be provided to the membership.

  5. Members must have voted on our website or have their completed ballots to the Secretary by October 25.

  6. The Secretary will notify the Executive Board of the voting results.

  7. With Executive Board concurrence, the Secretary will transmit names and other necessary information to FMCA and the club membership.

   Annual Dues:

  1. Dues of $10.00 per year are payable prior to 1 January of each year.

  2. A new member paying dues after the first day of October will be paid in full for the following year.

  3.  The treasurer will notify members when they are 30 days delinquent.

  4. When a member is 60 days delinquent they will be dropped from membership.

  5. Dues will be used as decided by the Executive Committee.

Membership:

 

  1. To qualify as a new club member you must own a Trek Motor Home per chapter ByLaws and must be a current member of FMCA.

  2. Trek Membership
    1. Current, active member of NWTFC in good standing who owns a Safari TREK Motorhome.
    2. Member enjoys all rights & privileges of membership.
    3. Member must meet the dues requirement for FMCA and NWTFC membership and abide by chapter bylaws & standing rules.

  3. Affiliate Membership
    1. A current, active NWTFC Trek Member in good standing, who has switched to another brand or model of coach.
    2. Member requesting Board approval to remain in the club as an Affiliate Member must submit their request to the Chapter President in writing.
    3. An Affiliate Member maintains rights & privileges of chapter membership with these limitations:
             a. May not vote in the club's annual election of officers and in the amending of club bylaws and standing rules.
              b. May not be a candidate or hold elected club office. If currently completing a term as an elected official, a new Affiliate member may vote during the remainder of his/her service.
    4. Member must meet the dues requirement for FMCA and NWTFC membership and abide by chapter bylaws & standing rules.

  4. Personal Announcements to Membership: When a member needs a caring response or prayers from the club membership regarding a serious personal matter, an exactly worded email from the person to the Club President will initiate the notification process.

   Smoking Policy:

  1. Smoking will not be allowed in any enclosed area.

   Pets:

  1. Pet owners must abide by the rules of the rally area.

  2. Secure permission prior to taking pets into other members Treks.

   Alcohol Consumption:

  1. Consumption of alcohol will be limited to the rules of the rally area.

  2. Consumption of alcohol that results in unacceptable behavior will result in loss of club membership and forfeiture of paid dues as determined by the executive board.

  Operation of Generators:

  1.  When in a commercial site, the rules of that site will be followed.

  2. In other areas the use of generators will be determined by the rally Wagon Master.
